Recording payments and part payments

When money comes in another way (cash, a check, Venmo or Zelle), all of it or part: Invoices, then "Details" on the invoice, then "Record a payment". The Amount starts at the balance; change it for a part payment. Pick the "Date paid" and the Method (Cash, Check, Venmo, Zelle, Card or Other), add a Note if you like (Check #1042), and click "Record payment".

Part of it paid: the invoice shows "Partly paid" and "$40.00 paid, $120.00 left". Parents see "Paid so far" and "Balance due" on the invoice and in the family portal, and the "I've already paid" button still works. Overdue follow-ups carry on for the remaining balance, with "remaining balance" wording, and a percentage late fee is worked out on the remaining balance. With card payments on, parents pay only the balance by card.

Once the payments cover the total, the invoice is marked Paid. Paid more than the total? It's noted as a credit ("Overpaid by $10.00"); to use it, add a minus line on their next invoice.

A mistake: click "Remove" next to the payment. A card payment made through Stripe: refund it from your Stripe dashboard first, then click "Refunded in Stripe" next to it so it comes off the invoice and your reports. An invoice with a payment recorded can't be voided (the payment would vanish from your records), so remove the payment first if it was wrong. "Mark paid" still works too: the rest then counts as received that day, with no method recorded.

Reports count each payment on the day it was paid, show "Collected by payment method", and the Tax summary lists income by method. The Payments download has a Method column.
