Letting families cancel lessons online

With the family portal on, parents can cancel an upcoming lesson themselves from the Lessons tab, as long as they give enough notice. Set it up in Settings › Family portal.

Under "When a family cancels a lesson online", choose one:

• "Cancel the lesson (not billed)": it's cancelled and left off the next invoice. If it's already been invoiced, it stays billed and is marked absent.
• "Keep it on the bill (marked absent)": it stays billed and is marked Absent (excused), so you know they won't be there.

"Notice families must give": 2, 4, 6, 12 or 24 hours (the default), 2 days, 3 days or 1 week before the lesson. Inside that window there's no Cancel button: the lesson says "Too close to cancel here. Can't make it? Email" you, and the page links to your studio policies. The lesson stays on the bill unless you cancel it yourself. Mark it Late cancel or No-show and it's still billed (attendance never changes billing), so you never have to ask for the money.

Lesson reminders tell families until when they can cancel online ("Can't make it? Cancel by ...", see "Lesson reminder emails").

Either way, you (and the student's tutor) get an email, no reminder goes out for that lesson, and the lesson page says the family cancelled it from the family portal.

Your cancellation and makeup rules go in Settings › Studio policies ("Your studio policies"); families see them on the Studio tab and next to lessons, and you can ask them to accept them (see "Studio policies families accept"). Families can't reschedule lessons themselves. With Settings › Makeup rules on, a family that cancels with notice can get a makeup credit and book one of your makeup times (see "Makeup times families book in the portal"); otherwise you add makeup lessons from the Lessons page.
