Makeup credits: who's owed a makeup

A makeup credit means a lesson the family paid for and didn't get. Turn it on in Settings › Makeup rules: tick "Use makeup credits" and click "Save". It's off until you do, and nothing changes for your studio before that. Turning it on gives a credit to each lesson you cancelled for a family on monthly tuition (owed a makeup) within your expiry, at most the last 3 months, or still to come.

"Issue a credit when": you cancel a lesson (always on); "The family cancels with notice" (they cancel in the family portal before your notice period); "Excused absence" (you mark it Absent (excused)); and, with "One free pass a year" ticked, each student's first Late cancel in the year. No-shows never earn one, and neither do lessons cancelled by Close the studio. The rule underneath: a lesson earns a credit only while the family still pays for it (it's on an invoice, their monthly tuition covers it, or it stays billed because it's marked Absent). If you cancel a per-lesson student's lesson before it's billed, it just isn't billed, so nothing is owed.

"Limit family makeups to" a number per month, term or year (tick the months your terms start in, and pick when "Your year starts in"). The limit counts the family's own credits; lessons you cancel always earn one. "Credits expire": after a number of days from the missed lesson, on a date, or never. New rules apply to new credits, and the daily run marks unused ones expired.

On each student's page, "Makeup credits" shows how many are available (and when the next one expires), used and expired, each with its reason (Teacher cancelled, Family cancelled with notice, Excused absence, Free pass, Added by hand) and the lesson it was for. "Add credit" adds one with your reason, and "Remove" takes an unused one away, also with a reason. A lesson's page says whether it earned a credit, and why not if it didn't. "Restore lesson" takes its unused credit back; if the credit was already used, the page warns you. Once its credit has paid for a makeup, a lesson that would stop being billed if cancelled can't be cancelled: cancel the makeup first.

Using a credit: on the Lessons page, "Add an extra or makeup lesson" has "Use a makeup credit (no charge)", ticked when the student has one. Or families book a makeup time in the family portal (see "Makeup times families book in the portal"). A makeup is never billed: the invoice line reads "Makeup for Oct 3, no charge", in "Bill a month", auto-send, a leaving student's final invoice and tuition months alike, and a month with only makeups isn't billed at all.

Cancelling a makeup follows the same rules: with notice the family gets the credit back (when "The family cancels with notice" is on), and a late cancel or no-show uses it up. When you cancel it, they always get it back. Payroll: makeup lessons count for the tutor who teaches them, like any lesson. The one exception is a makeup of a lesson that was already paid (a late cancel with the free pass, under "Pay for late cancellations"): it's only paid again if you tick "Pay for makeups of lessons already paid" in Settings › Payroll (shown once makeup rules are on), so nobody is paid twice for one lesson unless you want that.
